CONFIRMATION OF NUMBERS
Non residential events
Not
later than 28 day’s prior to the scheduled date of the event the Client
shall notify the hotel in writing of the client’s best Estimate of the
numbers of people attending the event (The Estimated Number).
Not later than seven days before such dates the Client shall notify the Hotel of the final numbers of such people (The Final Number).
British Trust Hotels shall be under no obligation to accept any increase over the Estimated Number or the Final Number and any such acceptance shall be at the sole discretion of British Trust Hotels.
The final numbers shall constitute the number of people in respect of which British Trust Hotels shall charge the Client in relation to the event notwithstanding that the actual number is less (assuming no increase of the Estimated Number or the Final Number is accepted).
If the Final Number is less than 90% of the Estimated Number then for the purpose of this clause 1.1 the Final Number shall deemed 90% of the Estimated Number.
Residential Events
Where the event includes bedroom accommodation, not later than 28 days prior to the scheduled date of the event the client shall notify the Hotel in writing of the final accommodation booking (The Final Accommodation).
Where at the time of placing this order bedroom accommodation has been reserved (The Reserved Accommodation) British Trust Hotels shall be under no obligation to accept any increase over the Reserved Accommodation and any such acceptance will be at the sole discretion of British Trust Hotels.
The client shall be charged for the Final Accommodation unless the final Accommodation is less than 90% of the Reserved Accommodation (assuming no increase in the Reserved Accommodation or the Final Accommodation is accepted pursuant to clause 1.22) in which case the client shall be charged for 90% of the Reserved Accommodation.
Not later than 14 days prior to the scheduled date of the event the Client shall provide in writing with a rooming list comprising the names of all persons using the accommodation and the type of rooms comprised within the Reserved Accommodation with which each such person is to be allocated.
CANCELLATION
Where this contract is cancelled by the client three calendar months or less prior to the scheduled date of the event then the following cancellation charges shall apply.
- Notice of cancellation % Confirmed charges
- 3 calendar months or less but more than 28 days 50%
- 28 days or less but more than 21 days 75%
- 21 days or less but more than 7 days 90%
- 7 days or less 100%
For the purposes of these conditions the expression ‘confirmed charges’ means the charges specified by British Trust Hotels to the client in the contract in relation to the Estimated Numbers, the Reserved Numbers or the Final Accommodation (as the case may be) and any additional facilities ( e.g. meeting room hire) as may be specified in the Contract. Where such charges are not precisely specified but are specified by reference to current prices prevailing at the date of the Event then the confirmed charges shall be calculated by reference to the current prices prevailing at the date of cancellation.
